Safe Alliance - Accounting Clerk

The Accounting Clerk supports the agency mission of providing hope and healing to those impacted by domestic violence and sexual assault by processing grant related claims, journal entries, assisting with month-end reconciliations, ensuring progress reports are submitted timely and other duties as assigned. This position requires familiarity with accounting procedures and concepts to ensure accounting functions run accurately and effectively.

Salary - $33,000 - $40,000


Client Care

Using trauma-informed, client-centered approach:

  • Act with client in mind and work to meet client needs and expectations to the extent possible.
  • Provide crisis intervention services by telephone or in person, as necessary, including responding to hotline calls.
  • Adhere to agency procedures concerning Documentation, Critical Incident Reports and Client Satisfaction surveys and participate in the Quality Assurance process.


  • Support agency by preparing and maintaining financial records, tracking funding balances, creating journal entries, preparing claim packages and assisting with month-end close/reconciliations.
  • Identify significant business, financial, operating risks and financial irregularities and communicate information to leadership.

Monthly Financials

  • Submit monthly cost reports (claims) to all funders ensuring correct coding, accurate journal entries and compliant documentation.
  • Update utilization/forecast tools and communicate variances with leadership and program directors.
  • Analyze and reconcile agency financials (government grants and advancement) and submit coding on monthly donations report.
  • Monitor and release budgets for all government and foundation grants.
  • Work with Shared Services to determine the monthly close date and communicate to agency staff members, follow up on outstanding receipts with appropriate parties.
  • Work with agency leadership to ensure information provided to the Board of Directors is accurate, timely and relevant.


  • Maintain current staff, title, and program list and integrate with budget tools for accurate cost reporting and budget projections.
  • Prepare staff grant assignments and support review of semi-monthly hour's allocation and make adjustments as appropriate in compliance with approved plans; communicate changes to impacted employees/supervisors.


  • Work with finance team to develop and request budget adjustments
  • Organize the submission of all programmatic-related grant reports
  • Maintain accurate, up to date, program, and agency records, including statistics and case tracking.
  • Assist in budget management, planning, implementation and forecast for the agency.
  • Document/track In-Kind donations
  • Serve as back up for depositing agency checks.


  • Increase community awareness of victimization, prevention, and available resources through public speaking and media requests.
  • Support agency mission by participating personally in agency and community meetings and committees as requested by supervisor
  • Promote and maintain professional relationships with agency staff, volunteers, and community partners.

Professional Development

  • Contribute to quality services by staying informed of developments and trends in the area of trauma and victimization, especially as it relates to intimate partner violence, sexual violence, and child maltreatment.
  • Maintain and develop skills and knowledge by attending training and staying informed of trends affecting job related duties and issues facing the agency/clients


  • Education: High School Diploma or Equivalent - Bachelors or Associates degree in accounting or finance preferred.
  • Experience: 2 years of work experience in accounting, accounts payable or a clerical/data entry role
  • Strong Excel skills; understanding of accounting principles.
  • Self-starter, professional, reliable, and attention to detail / accuracy.
  • Strong work ethic, organizational and time management skills, desire to learn new tasks.
  • Knowledge of non-profits preferred.
