Executive Assistant

The Renaissance West Community Initiative (RWCI) Executive Assistant will provide administrative and project support to the RWCI Chief Executive Officer (CEO) and Executive Team (Chief Operating Officer, Chief Development Officer, Chief Neighborhood Engagement Officer, and Chief Impact Officer) by handling executive administrative, general administrative and special projects for the organization.

RWCI is leading the revitalization of a neighborhood in the West Boulevard corridor of Charlotte, NC. The organization is working to improve economic mobility and end intergenerational poverty through a holistic approach that is based on the Purpose Built Communities model. The initiative includes a simultaneous focus on mixed-income housing, a cradle-to-career education continuum, and supportive services for children and families. RWCI is a comprehensive neighborhood revitalization effort and represents an opportunity for resurgence in what was once one of Charlotte's most economically challenge neighborhoods.

Position Description

The Executive Assistant (EA) will report to the CEO and Executive Team to facilitate the smooth operations of the RWCI executive office environment. The EA will make a significant contribution to the vibrancy of RWCI and support the overall success of the organization by performing the following functions:

Responsibilities:

  • Assist in managing and prioritizing daily workflow around emerging issues, including timely preparation of materials and written correspondence on behalf of the CEO and staff.
  • Communicate and interact with all levels of the organization and across business functions on behalf of the CEO.
  • Ensure that requests for action and information is relayed to the appropriate staff member in the CEO's absence
  • Manage the CEO's calendar and meeting schedule including prioritization for competing demands and ensuring that the CEO is properly briefed and has all the necessary information in advance of meetings.
  • Coordinate and manage Board of Director's meetings, assist with the agenda, and record the minutes.
  • Assist the COO to coordinate and manage staff meetings, assist with agenda, and record the minutes.
  • Use professional communication, discretion, and good judgement in handling sensitive and confidential information.
  • Assist with office management responsibilities: distributing mail, maintaining printer, handling procurement of office supplies and equipment, maintain inventory, determine and execute reorder, etc.
  • Manage organizational room reservations, collect all appropriate documentation from scheduler and ensure room users follow the guidelines of the contract based on RWCI & landlord standards.
  • Establish and maintain executive office records
  • Provide assistance with office and presentation technology
  • Perform clerical functions such as preparing correspondence, handling information requests, receiving visitors, arranging conference calls, making travel arrangements, processing invoices and expense reports
  • Provide CEO meeting support - preparation, communications, setup, materials preparation, documentation, and cleanup
  • Conduct situational analysis, prioritization, appropriate escalation and problem solving skills.
  • Serve as primary contact and coordinator of the office and business environment
  • Coordinate staff recognition and appreciation activities
  • Contribute knowledge, concrete ideas, and input within the organization
  • Maintain inventory log of office equipment.
  • Other duties as assigned

Qualifications:

This is an extraordinary opportunity for an individual with executive assistant experience to continue building RWCI's operational capacity. The Ideal candidate will also demonstrate the ability to work collaboratively across stakeholder groups to achieve an ambitious set of goals.

  • Minimum of 4+ years of experience as an Executive Assistant reporting directly to senior management
  • Nonprofit experience
  • Excellent written communication skills are a must
  • Detail Oriented
  • Personal qualities of integrity, credibility, and a commitment to and passion for Renaissance West Community Initiative's mission
  • Intermediate to Advanced technical skill, demonstrated experience and proficiency in MS Office Suite (Word, Excel, Power Point, Publisher, Outlook, etc.), virtual meeting technologies such as ZOOM, WebEX, and MS Meeting
  • Flexible schedule in support of organizational events and activities
  • Ability to work in fast-paced environments and in balancing competing priorities
  • Experience in a high-performance, collaborative, constructive peer group
  • Experience in a complex work environment
  • Proficiency in collaboration and delegation of duties
