Programming Department Coordinator

OVERVIEW

The Temporary Programming Department Coordinator is a four month minimum position that supports McColl Center for Art + Innovation in the implementation of it's Artist-in-residence, public programs and off-site community-based projects. This position works closely with staff, artists, volunteers, interns and community partners to implement inclusive, dynamic, and innovative experiences to create positive community change.

The ideal candidate will be a detail-oriented, proactive, relationship builder with knowledge of contemporary art and the Charlotte-Mecklenburg community. Regular evening and weekend hours required.

RESPONSIBILITIES

  • Assist with the planning and execute public programs, including administrative support, managing internal communications, booking travel and accommodations, managing registration, handling logistics with partners and vendors and processing payments
  • Executing appropriate contracts for payment to artists, partners and vendors
  • Assisting with McColl Center recruitment and management efforts for the volunteer and internship programs including working in partnership with area universities to ensure college credit requirements are being met
  • Create orientation materials, manuals, image request lists, loan documents, contracts, and letters of agreement for artists-in-residence
  • Research travel for artists and submit reimbursement check requests
  • Create and update internal materials including contact sheets for staff and artists, exhibitions, and studio price lists for staff use
  • Research shipping costs and oversee shipments and local deliveries of art including incoming/outgoing condition reports
  • Organize and execute logistics for departmental meetings, Open Houses, Open Studio Saturdays, workshops, and any other events related to the department (order meals, media presentations, etc.)
  • Contribute to planning meetings with the McColl Center team
  • Source materials and vendors to support program activities within the approved budget
  • Identify staffing needs for public programs and work with appropriate staff to secure assistance
  • Maintain and enter data in Altru and Outlook for public program dates, attendance numbers, and contact information for artists and partners
  • Attend relevant community meetings and events
  • Other duties as assigned

QUALIFICATIONS

Bachelor's degree or equivalent experience

Two to three years of experience working in a cultural organization or directly with artists

Experience developing relationships with cultural, educational, and other organizations

A passion for contemporary art

Strong written and interpersonal skills

Reliable and organized self-starter

Public speaking skills; comfortable interfacing with the public

Excellent project management skills

Proficiency with and accuracy in using MS Office products, including Word, Excel, Outlook, PowerPoint and other related software applications
